What we do

Two kinds
of work

Most requests fall into automating routine work or building a tool the business does not have. Both start with the same conversation about how the work happens today.

Automating routine work

Reading and sorting email, drafting replies that wait for approval, pulling details out of forms and documents, summarising, answering routine questions from an agreed set of facts, and turning calendar and system data into a readable brief. Not every automation uses AI; sometimes a rule and a schedule do the job better.

Building software you can own

Internal tools, dashboards, booking systems, relationship workspaces and specialist calculators, built around the way one business works. Our own Strohl CRM, Exact Penny for law firms and See My Week each started as a tool built for a specific need. A custom build comes with a written scope that covers ownership, so you know what you are getting and who holds it.

Booking that fits three lawyers

A family law firm's own booking tool was turning clients away before they reached a lawyer, so we replaced it with one built around how each of the three works. The AI receptionist page tells that job properly, including the failure clients kept hitting.

One screen for an advertising question

A cosmetic surgery practice in Australia was paying for advertising without a reliable way to see what came back, and we gave it a daily view drawn from the practice's own accounts. The dashboards page covers what belongs on a screen like that and what stays off it.

A weekly board that grew into a product

A family in California needed a printable weekly plan their child could follow, and the tool we built for them became See My Week. The business automation page has the build itself, and the custom software page has what happened to it afterwards.

We use AI where it has a useful role, and we agree with you how its output is checked. Some of what we build does not use AI at all.

Reading and sorting incoming email, drafting replies, extracting details from documents and forms, summarising long threads, answering routine questions from a set of facts you approve, and turning calendar and system data into a short brief. In each case we agree what gets checked and by whom before it goes live.

Work that stays with people

Final decisions, anything a person must sign off, and anything you have told us should stay manual. We will not set up a system that acts on your behalf without an approval step you chose, and we will not replace the judgement of the person who knows the client.

The free AI Checkup comes first

The AI Checkup is a review of one process, about an hour long. You walk us through how the work happens now, and we tell you what we would automate, what we would leave alone and roughly what it would take. If nothing is worth doing, we say that. Book it through the form on this page and we reply within one business day.

Fixed quote or monthly retainer

A custom build gets a fixed written quote agreed before work starts, covering the deliverable, price, timeline, access, ownership and support. Ongoing automation and AI assistant work runs on a retainer from USD $500 per month, with a point of contact and a monthly review. The Managed Inbox pilot is USD $400 per month for inbox triage, draft replies that wait for approval, and a useful brief, with connections and scope confirmed first.

Four steps from first call
to handover

The same four steps apply whether the job is a small automation or a product build. You see a working version before anything goes live.

Understand the work, then agree the scope

We walk through the process with the people who do it, name the problem, and agree what a useful result looks like. Then you get a written proposal covering the deliverable, price, timeline, access, ownership and support. Nothing is built until you have agreed it.

Build, check and put it to work

You review a working version, we test the agreed workflows together, and we measure the outcomes we chose at the start. At handover we help your team use it, and maintenance and improvements continue under the support scope you agreed, with a monthly review if you are on a retainer.

What people ask before
hiring an agency

What does an AI agency actually do?

It looks at the routine work in a business and builds systems that take some of it on: sorting email, drafting replies, pulling details from documents, producing a brief, or a small internal tool. A good one also tells you where AI does not belong, and builds ordinary software where that is the better answer.

Does any of this mean switching the software we run on?

Usually no. We connect to the calendar, inbox, practice software or analytics accounts you already have where those systems allow it. When a tool cannot be connected, we say so in the scope and propose the smallest change that works. Access is agreed in writing before anything is connected.

Who owns what you build for us?

Ownership is written into every quote before work starts, alongside the deliverable, price, timeline, access and support. You should know from the first proposal what you will hold at handover and what continues under support. Our own products, such as Strohl CRM, are separate from client work.

Do you only work with local clients?

No. Our base is Vancouver, Canada, and the work runs remotely. Clients are mostly in Canada and the United States, and the three projects above sit in three different countries. Conversations happen by video call, and we reply to enquiries within one business day.

What happens after the AI Checkup?

If there is something worth doing, we send a written proposal with the deliverable, price and timeline. If not, you keep the notes and there is no obligation. Nothing is connected until you have decided to go ahead.
